I need to send email to a distribution list (bulk email)

Avoid blocks and comply with the rules: step-by-step guide to sending bulk emails from your hosting safely and effectively.

Guide to sending bulk emails from your hosting (and doing it right)

If you need to send emails to a distribution list or run an email marketing campaign, it's important to do it correctly so as not to affect the delivery of your messages or put your hosting account at risk.

At Bacan.com we want to help you keep your service running optimally, so we share this practical guide with everything you need to keep in mind.

Key recommendations for bulk email sending

  1. Always have authorization from your contacts

Most importantly: don't send SPAM. You should only send emails to people who have explicitly authorized receiving your messages. This is not just good practice — it's a legal requirement. If you don't have permission, don't send the email.

  2. Don't use the "To" or "CC" field for many emails

Even if your email client allows you to add many recipients, this technique is not valid for bulk sending. You won't be able to manage bounces or handle unsubscribes, which can affect your domain's reputation and cause blocks.

  3. Verify that email addresses exist

Before sending your campaign, make sure the emails on your list are valid. There are online tools that allow you to do mass verification (use them from your computer, not from the hosting). Based on our experience, up to 40% of lists contain invalid emails.

  4. Use a specialized tool like PHPlist

In your control panel (DirectAdmin or cPanel), under the Softaculous section, you can install PHPlist, a system specifically designed for sending newsletters safely and in a controlled manner.

  5. Set a sending limit per minute

To avoid automatic blocks, configure your system to send a maximum of 100 emails every 5 minutes (equivalent to 1200 per hour). Exceeding this limit can cause your account to be temporarily blocked.

  6. Automatically manage bounced emails

PHPlist (or whatever system you use) should automatically remove from the list any emails that bounce, i.e., those that cannot be delivered because they no longer exist.

  7. Offer an unsubscribe option

Recipients must always be able to easily unsubscribe from your list. Make sure to always include a clear link or instruction for this in every email.

  8. Remember: SPAM is a crime

Sending emails without permission can lead to the closure of your hosting account and, in some cases, even financial penalties. It also harms the delivery of legitimate emails from other users who share your server.
