Why are your emails going to spam? Here's how to detect it

If your clients or contacts say they can't find your emails, they're probably landing in their spam folder. This can affect your business communication. Fortunately, there's a free tool that lets you know exactly what's going wrong: Mail-Tester.com. In this tutorial we explain how to use it and understand the results.

How to use Mail-Tester.com step by step?

1. Go to Mail-Tester.com
Visit https://www.mail-tester.com. You'll see a page with a random email address (like test-abc@mail-tester.com).

2. Send an email from your account
From your email panel (whether Webmail, Outlook, Gmail connected to your domain, etc.), send a test email to that address generated by Mail-Tester. Make sure the email is similar to what you'd normally send (with subject, text, signature, etc.).

Important: If you have multiple email accounts on your domain, test with each one.

3. Click "Check your score!"
After sending the email, return to Mail-Tester and click the button to get your score.

4. Review the results
Mail-Tester will show you a score out of 10, with details divided into sections:

  • Authentication (SPF, DKIM, DMARC): Checks if your domain has these records correctly configured.

  • IP and domain reputation: Detects if your IP or domain are on blacklists.

  • Message content: Analyzes if your email contains words or formats that are typically marked as spam.

  • External links and resources: Verifies if the links or images you use are safe or blocked.

  • Email format: Evaluates whether your message has a good balance between text and HTML.

Useful tips for improving your score

Configure SPF, DKIM and DMARC in your control panel. If you use DirectAdmin or cPanel, these records can be added easily from the DNS section.

Avoid suspicious words like "free", "urgent" or "buy now" in the subject or body of the email.

Don't use only images in your email. Make sure to also include descriptive text.

Add a professional signature with name, title, company and contact details.

Ask your contacts to mark your email as "not spam" if it ever lands in that folder.

Remember

With Mail-Tester.com you can easily identify why your emails go to spam and take concrete actions to improve. Reviewing and correcting these aspects can make the difference between your messages being read or ignored.
