Configuring an automatic forwarder to an external account (like Gmail or Hotmail) seems like the most convenient solution, but it's usually the main cause of lost emails. Today I'll explain how to receive your emails in your favorite inbox without putting message delivery at risk.
The risk of external forwarders
It's normal to be confused at first, but here's the trick: when you forward an email from sales@your-domain.com to your-account@gmail.com, Gmail's server sees that the email comes from our servers but with a sender address that doesn't belong to us (for example, from a client).
This makes Gmail mark us as "potential spam generators". If this happens repeatedly, your emails will stop arriving. That's why, forwarders at Bacan must only be used between accounts of your own domain.
The professional solution: POP3 configuration
If you want to keep using Gmail, Hotmail or Outlook's interface to manage your corporate email, don't worry — it's very straightforward. The correct and safe way to do it is via a POP3 connection.
Instead of our server "pushing" the email to Gmail (forwarding), Gmail will log in to our server and "collect" the email for you. It's much more reliable and professional.
How to configure it (general step by step)
-
Log in to your external account settings: In Gmail, find the gear icon → See all settings → Accounts and Import. In Hotmail/Outlook, go to Settings → Mail → Sync email.
-
Find "Check mail from other accounts": Click to add an email account.
-
Enter your Bacan credentials:
-
Username: Your full email (e.g.:
contact@your-domain.com). -
Password: The one you created in your panel (DirectAdmin or cPanel).
-
POP server: Normally it's
mail.your-domain.com. -
Port: Select 995 with secure connection (SSL/TLS).
-
-
Check the option "Leave a copy on the server": This is useful if you also want to see emails from our Webmail in case of emergency.
You'll find that after saving, your corporate emails will start appearing in your usual inbox without delivery errors.
Bacan Pro-Tip
When configuring email via POP3 in Gmail or Hotmail, also make sure to check the "Send mail as" option. This will allow you not only to receive, but also to reply to your clients using your professional address (@your-domain.com) from the Gmail interface. Your clients won't even notice you're using a personal account!
Key takeaways:
-
Internal forwarders only: Use them to move emails between accounts on your own domain to avoid blocks.
-
Use POP3 for Gmail/Hotmail: It's the only guaranteed way to receive your corporate emails in external inboxes without them getting lost along the way.
-
SSL security: Always use port 995 so your information travels encrypted and secure.
